Softengine is a managed service provider that delivers SAP Business One to mid-market customers as a cloud-hosted service. When one of its customers, a large wholesale distributor Rough Country, needed to migrate from an aging on-premises SAP environment to AWS, Softengine engaged Avahi to conduct a formal AWS Migration Acceleration Program (MAP) Assessment. Avahi delivered a structured, five-phase assessment over approximately four weeks, producing a validated current and future state architecture, a total cost of ownership model, a go/no-go executive readout, and a Mobilize SOW – providing Softengine and its customer with the technical foundation and business case to proceed to full migration.

Softengine is a technology company specializing in SAP Business One implementations and managed hosting for distribution, manufacturing, and professional services companies. Softengine operates a multi-tenant AWS environment and provides SAP B1 as a managed service to its customers, handling infrastructure, licensing, and ongoing platform operations. Their customer in scope for this engagement is Rough Country, a wholesale distribution company running SAP B1 on-premises with over 160 end users and a database approaching one terabyte.

The Problem

The customer’s SAP Business One environment had reached an inflection point. The on-premises infrastructure (running SQL Server 2017 on aging hardware with over 300 GB of RAM and a multi-socket processor configuration) was approaching end-of-support, and the business was growing beyond what the existing footprint could scale to accommodate. The customer also faced an application upgrade dependency: moving to SAP B1 v10 required a parallel SQL Server migration from version 2017 to 2022, adding sequencing complexity to what might otherwise have been a straightforward rehost.

Compounding the technical challenge was an architectural boundary question unique to Softengine’s MSP model. Softengine operates a shared platform core on AWS including directory services, remote access infrastructure, and application delivery alongside dedicated single-tenant workloads for each customer. Defining where shared components ended and the customer’s dedicated environment began was critical to scoping the migration correctly, establishing accurate TCO, and positioning the engagement properly under MAP program requirements.

Before the engagement could proceed to execution, Softengine and its customer needed an independent, structured assessment that could validate the proposed architecture, resolve open sizing and licensing questions, produce a defensible cost model, and produce the documentation required to enter the AWS MAP Mobilize phase.

Why AWS?

Softengine had already committed to AWS as its hosting platform, operating its shared infrastructure in an AWS VPC. Extending this infrastructure to accommodate the customer’s dedicated workloads on AWS was the natural path, enabling Softengine to reuse its existing platform services – Parallels RAS for application delivery, Active Directory, and shared file services – while provisioning isolated, single-tenant compute for the customer’s SAP B1 database, application, and integration workloads.

AWS also provided access to the MAP program, which offered structured assessment methodology, program funding support, and migration credit eligibility – reducing the cost of migration for Softengine’s customer and providing a repeatable framework Softengine could apply to future customers migrating onto its platform.

Discovery surfaced and resolved several open questions that had carried through pre-sales, including SQL Server instance sizing, the precise boundary between Softengine’s shared platform and the customer’s dedicated workloads, and the upgrade sequencing required to move SAP B1 from v9.3 to v10 alongside the SQL Server migration.

Current and future state architecture reviews followed, producing validated diagrams documenting the on-premises environment and the proposed AWS target state. The target architecture provisions a dedicated single-tenant EC2 fleet for the customer’s workloads including session hosts, database, application, web, and integration servers, sitting alongside Softengine’s shared platform core and accessed via Parallels RAS. Instance sizing was validated against workload performance data, and the shared versus dedicated boundary was documented in a client-safe abstraction suitable for MAP program positioning.

A total cost of ownership model was then produced using the validated architecture and sizing, covering AWS compute and associated infrastructure costs for the dedicated workload fleet. The model was reviewed with both Softengine and the customer in a structured TCO review session and refined based on their feedback.

The engagement concluded with an executive readout presenting the full assessment findings, the validated target architecture, the TCO model, an identified risk register, a phased migration roadmap, and a go/no-go recommendation. Avahi also delivered a Mobilize SOW defining the six-week execution engagement to follow.
